Task Center scaling: New features for efficient task management, expanded attachment capabilities, and a new Watcher role

As the volume of work increases, effective task management becomes an important component of any organization’s success. That is why we decided to improve our Task Center, ensuring its ability to handle huge volumes of tasks with extreme speed. The 3.1 update not only makes task management easier for every user but also gives organizations the ability to build their business processes with more flexibility. Task Center scaling to ensure handling of large task volumes

What has been done?   

Several improvements were made to significantly boost the speed of the Task Center module to enable the system to process data from a large number of tasks faster. Thanks to this, each portal user can access their tasks in real time, regardless of their number.

How does it work?

Go to Personal Services in your account and start creating your own group task tree without worrying about the number of tasks. Create the required volume, change the status of existing tasks, and modify fields. The system will take care of their prompt application and display in your table or kanban board.

How will it be useful?  

Ensuring stable operation and performance of the Task Center allows organizations not to worry about the number of tasks created.

This is a significant advantage for companies that build their business processes for automating certain requests with the help of the Task Center.

Retail companies will benefit from the seamless creation of thousands of tasks within one day and their quick updating by the user.

The innovation is equally useful for the Task Center in both the web version of the portal and the portal application in Microsoft Teams, ensuring stable operation when using each interface.

Currently, the Task Center can support nearly 7 million tasks. Our team plans to increase this number and further optimize the functionality.

Adding multiple attachments to a task form in the Task Center

What was done?   

We expanded the capabilities of the Attachments field for the task creation form in the Task Center. Now the user can attach multiple necessary files.

The user can see information about the file extension, its size, and the icon.

How does it work?

Open the new task creation form in the Task Center, fill in all the required fields, and add several files from your computer in the Attachments field. You will immediately see file icons, their name, extension, and size. If a file was added by mistake, you can use the delete button to remove it.

Why is this useful?  

When creating tasks, you often need to add materials that are necessary to complete the task. But these materials are stored in different documents. Therefore, our enhancement will be useful for every user to create a complete task description and attach all the necessary files so that the task performer has everything at hand.

The Watcher role has been added to the Task Center

What was done?   

We added the “Watcher” field to the task form and created a separate section in the Task Center where the supervisor can view all assigned tasks.

How does it work?

Go to the Task Center, create a new task, and specify the desired employee in the “Watcher” field. The user entered in this field is not directly involved in the task and cannot make changes to fields or statuses. However, this user sees all the changes made and can monitor the task execution process.

The “Watcher” option is particularly valuable for executives, managers, and project managers. It allows them to stay informed about the progress of specific tasks and review relevant details.

Portal administrator’s ability to customize the first working day in all product calendars

The ability to set the first working day in all product calendars (for portal administrators)

What has been done?   

All product calendars (corporate, personal, on the Birthdays page, in Organizational Structures, in the Personal Area, including the Task Center) were configured according to a unified regional setting. As a result, the portal administrator can set the first day of the week using a single point.

How does it work?

Go to the site settings, choose the “Regional settings” section, select the first day of the week (Monday or Sunday), and save the changes.

How will this be useful?  

The SmartPoint Intranet corporate portal is used by companies from different regions. For some, it is more convenient to have the American format of displaying the days of the week in calendars (starting with Sunday). However, European companies should choose Monday as the first day of the week. To provide flexibility, we have added an option that allows the client to modify this setting on their own.
